Retention Policy (draft)

This document explains how long we retain different classes of data and what happens when content is removed.
Submissions (papers) and versions
- Published papers and versions: retained indefinitely unless removed for policy/legal reasons.
- Soft-deleted submissions (author self-delete or admin takedown): hidden immediately, retained for 30 days, then permanently purged (database rows + stored artifacts).
Uploaded files / artifacts
We store the original manuscript file you upload (the “canonical artifact”) and may generate derived artifacts (e.g., extracted text for review/search). For soft-deleted submissions, stored artifacts are removed as part of the permanent purge.
Comments
- Approved comments: retained indefinitely unless removed for policy/legal reasons.
- Rejected/spam comments: may be retained temporarily for abuse analysis, then purged.
Verification tokens
Verification and invite tokens expire and may be purged after a limited period.
Operational data (jobs, audit logs)
We retain operational data for security and operational integrity. Some operational logs may be retained longer when required for safety, abuse prevention, or legal obligations.
